1. What is DueBuddy
DueBuddy is a document processing service: it processes incoming invoices (PDFs, photos, XML, QR codes) and converts them into structured data, as well as sending payment reminders to clients on your behalf.
DueBuddy does not issue invoices on your behalf and does not manage your accounting. Entries, taxes, and reporting remain the responsibility of you and your accountant.
2. Your account
- An account is required to use the service. You are responsible for keeping access to it secure.
- Only one account may be used at a time; API keys are subject to a separate decision.
- You agree to upload only documents that you have the right to have processed.
3. What we do and what we do not guarantee
- We read data directly from the document code (XML, QR), and apply image recognition only to scans and photos.
- Recognition may contain errors. We flag uncertain fields, but you are responsible for verifying the data before using it.
- We do not guarantee 100% recognition accuracy. We do not guarantee that the service will suit your specific needs.
- We do not provide legal, tax, or accounting advice.
4. Payment
- Subscriptions are paid through a payment provider. We do not store your card details.
- Recognition of scans and photos is charged per page. Electronic invoices whose data is already encoded are read without restrictions.
- Uploading the same file again is not charged a second time.
- Prices are listed on the pricing page and may change for future periods—the current payment will not be changed retroactively.
5. Refunds

6. Limitation of liability
The service is provided “as is.” We are responsible for the operation of the service to the extent permitted by law, but we are not liable for:
- lost profits, penalties, or consequences resulting from recognition errors or undelivered emails;
- the consequences of decisions made based on data that you did not verify;
- connection outages, the operation of external services, and force majeure.
7. Prohibited activities
- Uploading third-party documents without their consent.
- Using the service for mass distribution of unsolicited emails (spam).
- Attempting to bypass the service's limits, billing, or protection.
- Using the service for purposes prohibited by the laws of your country of residence.
In the event of a violation, we may suspend access.
8. Data and privacy
How we process data is described in the FactsPrivacy Policy, processing on your behalf is described in the Data Processing Agreement, and the list of providers is available on the Providers page.
9. Changes to the terms
We may update these terms. We will notify you in advance of material changes. By continuing to use the service, you accept the revised version.
